Bookings

Preferred method of payment is bank transfer, if you are paying via Stripe there is a booking fee of 4.6% (3.1% platform fees & 1.5% Stripe).

Bookings for all our courses must be made in advance. Full payment must be made at the time of booking if paying via credit or debit card. If paying via Childcare Vouchers, payment must be received within 10 days. If you need to pay via two forms of payment please contact us prior to booking.

All bookings will be confirmed. If you do not receive your confirmation within a week of booking please contact us.

 

Childcare vouchers

If you are paying by childcare vouchers the system will prompt you to send us an email. Please specifiy the voucher company and we will email you with instructions on how to complete the reference, if applicable, for your payment to be identified.

 

Cancellations

A refund will be made for cancellations received in writing at least fourteen days before the start of the course. An administration fee of £40 per course will be deducted. Payments made via Stripe that are eligible for refund will be minus the Stripe fee of 1.5%.

In the unfortunate occasion that we cancel a class before the first day you will receive a full refund (see above for payments made with stripe). If in the extrordinary circumstance we need to cancel a class after the first day has been completed you will receive a partial refund for any days not completed.

 

Class transfers

If for any reason your child needs to change course (at our discrection and dependant on suitability and occupancy) we will always endevour to encourage a fun replacement course. Dependant on the reason for chage of course, we reserve the right to request the difference in payment should the final course be more expensive than the original course selection. Should the final course be less expensive any refund will be at our discretion.

Registration

Registration will take place on the collection field and in each classroom. Please note classes commence at 10am and you will be required to supervise your child until this time. Children in the Breakfast Club will be taken to their class.

 

Collections

Our courses finish at 4pm and our Tea Club finishes at 5.45pm. If collecting after the courses please wait at the collection field and your children will br brought out in their class groups. If collecting between 4-5:45pm during Tea club please collect from the Tea Club building.

 

Late collections

If you are late to collect your child from the courses they will be brought to the Tea Club by their tutor or class assistant which can incur a charge of £17. If your child is booked into Tea Club and you are later than 5:45pm to collect there is an additional charge determined on the time children are eventually collected. Please note the school closes it’s gates at 6pm.

 

Changes to our courses

We reserve the right to cancel a course if necessary – in this unusual circumstance a full refund will be made.

We reserve the right to substitute tutors and alter the programme if necessary. 

 

Personal property/Lost property

Valuable items should not be brought to our Workshops. Chiswick Holiday Courses will not be liable for the loss or damage of any item of personal/valuable property brought to the school. 

 

Changes to our Website

We may update our website from time to time and change the content at any time. We do not guarantee that our site, or any content will be free from errors or omissions.

 

Food and Drink

All students should bring a packed lunch, please ensure this is NUT FREE and contains NO GLASS . Squash, water and biscuits will be provided during morning and afternoon breaks. Children who join us for our Breakfast and Tea club will also need to bring their own packed lunch, NUT FREE and NO GLASS please.

 

Sickness and Medication

Chiswick Holiday Courses require that all children who are ill or infectious be kept at home for the full duration of their ailment and for 48 hours after the last symptom occurs.

Essential prescribed medication must be handed to Kyle Rolton or next designated lead/first aider (to be found in the Breakfast/Tea club/First aid building for safekeeping.  A medication consent form must also be seen by Kyle or other Lead. 

 

Medical and other relevant conditions

Medical or other relevant conditions relevant to the child’s participation in our courses must be disclosed at the time of booking. We have limited capacity to support students with neurological and physiological disabilities, please contact us to discuss. We will always endevour to be as inclusive as we can while taking into account all other considerations related to our camps.

 

Willfull damage or destruction

We have been operating at Ellen Wilkinson School for over two decades and we have a very good relationship with the school. This is predicated on the quality of our courses, the quality of our staff and our respect of the site. In the case that your child or children cause willfull damage or destruction to school property we may need to contact you once the damage and cost has been assessed.

 

Behaviour

Chiswick Holiday Courses has a responsibility for ensuring the wellbeing and safety of all children in our care. We follow a zero-tolerance policy on poor behaviour of any kind. We reserve the right to exclude any child for any reason including, but not limited to, inappropriate parent or child behaviour, bullying or discrimination. No refund will be made for any remaining days booked and any costs associated with the exclusion, including transport home will be the parents’ responsibility.

 

Smoking

Smoking is not permitted anywhere on the school premises.

 

Dog’s

Dog’s are not permitted on school grounds, we will allow them strictly on the lead in the school car park but they must not be brought further onto site and most importantly they must stay off the field. These are the schools rules and we must abide by them to retain our contract.
